SAWGA BOARD OF DIRECTOR
MEETING MINUTES The meeting was called to order by President Jeanne Parsley. Board Members present were: Jeanne Parsley, Irene White, Cindy Tuerk, Mary Lucas, Bay Ponseigo, Syd Muenster, Linda Stahl, P. J Wright and Communications Director, Terry Lambert. Board Members absent were: Nancy White, Peggy Baker, Gayle Fisk, Karen Antis, and Betty Lieb. Jeanne Parsley made a motion to dispense with the reading of the last meetings minutes. It was seconded and passed. Officers Reports: 1st Vice President - Jeanne Parsley (in Peggy Baker's absence) reminded members to bring all toiletries for ladies in the Battered Women’s Shelter. Irene suggested we put that request on the Christmas Tournament/Party invitation. 2nd Vice President - Syd Muenster reports that the membership is currently 77. Dues are still coming in. New members present a challenge as to where they maintain a handicap. Each member needs a club or association affiliation and must have a handicap kept in a USGA Approved handicap system. The 2009-2010 Membership Directory will be online when Syd verifies all members’ information. On October 31st, online access will be denied to anyone who has not paid 2009-10 dues. Treasurer - P. J. Wright (in Nancy White’s absence) led a discussion concerning reducing the budget to reflect the decrease in membership. Christmas Playday, SAWGA Championship and Spring Awards Day need to be self-sufficient financially. Several other areas in the budget were reduced. We may have a 50/50 pot on playdays to raise money. Mary Lucas moved to accept the budget as amended and Syd seconded - the motion was approved. Communication Chair – Terry Lambert announced that the online registration system is working and that all members of the SAWGA Board have access to it as a beta test. He hopes to give all members access to it soon, probably to coincide with the end of the membership recruiting period which ends on October 31st. Terry has been manually inserting all registrations for playdays so that the tournament chair will have full access to each registered player with their current index and course handicap which makes it very easy for them to determine their flights and the pairings for the day. Cindy Tuerk explained it had been very easy for her to download all of the tournament information for the playday at Olmos Basin into a spreadsheet and that it really simplified her job as the tournament chair that day. Tournament Chair – In the absence of Gayle Fisk, Terry Lambert asked for clarification regarding the SAWGA Club Championship – is it a one-day or two-day tournament? The SAWGA Championship will be at The Republic on March 29th. It will be a one day tournament. Seasonal Awards (was Ringers) Chair - Bay Ponseigo noted that all gross and net scores must be recorded for her to be able to select the one best gross and one best net for the year in each flight. This includes Last Monday scores. Terry will keep a spreadsheet on every flight’s low gross and low net each week. Handicap Chair - Linda Stahl will provide the list of members by flights as soon as all members have renewed membership (October 31). This information will be required for Bay to choose each flight's seasonal award prizes. Linda will send this information to Bay and Terry. Rules Chair - Mary Lucas reported that her editorial changes of the standing rules have been sent to Terry Lambert. Terry has been waiting for Bay to provide verbiage for the new Seasonal Awards section to replace the old Ringers section. We discussed the handicap criteria and agreed that the following would be inserted in the Standing Rules: "Members who initially met the handicap criteria and subsequently exceed same will be grandfathered into the organization and thus will remain members of SAWGA even though their index exceeds the criteria index so long as they remain members in good standing. Players whose SAWGA membership lapsed, but request membership status again, are required to meet the current handicap index criteria. " The present maximum index is 34, but based on slope rating of the courses we play, we should consider 35.8 as maximum index. The will be discussed for next year (2010-11). General Discussion: Syd asked if a member has to have a home course to maintain handicaps. There was considerable discussion regarding the need of a "home course" to maintain handicaps, since there are other systems available to maintain a handicap that are not single course entities – such as Galaxy Golf and the Alamo City Golf Trail. It was decided that either a home course or an alternative system was OK as long as the handicap system used is USGA approved. Terry Lambert offered that since there is a charge associated with a handicap, whether it be through a club using GHIN or another system, perhaps SAWGA should consider having its own online USGA approved handicap program that would be free with SAWGA membership (like EWGA does)? This question was tabled for future discussion as most of our players keep their handicaps at their member clubs. Terry will survey all players with a handicap of 16 and under to see if the Championship flight prefers to play red or sand tees at the Republic. That information will be given to the tournament director and tees can be adjusted according to the weather and other factors. New Business: Mary Lucas made a motion that the Board may nominate and elect an Honorary Lifetime Member as someone who has demonstrated exemplary and extended dedication to SAWGA. Syd seconded the motion. Motion was approved by the Board. Barbara Winn was nominated and selected as an Honorary Lifetime Member. This honor will be more defined at a later time. Jeanne Parsley gave us the new Procedural Guide. There was no other business and the meeting was adjourned. Respectfully submitted, Irene
