SAWGA EXECUTIVE BOARD MEETING MINUTES
APRIL 6, 2009

The meeting was called to order by President Jeanne Parsley.

Board Members present were: Jeanne Parsley, Irene White, Nancy White, Linda Stahl, Bay Ponsiego, P. J. Wright, Karen Antis, Gayle Fisk, and Terry Lambert.  Board Members absent were: Peggy Baker, Cindy Tuerk, Susan Powell and Mary Lucas.

Nancy White gave the treasurer’s report. The budget is over a small amount for the Christmas play day, but is under on all other lines. A motion was made by P. J. Wright and seconded by Linda Stahl that we allow $1500 for the Spring Play Day on May 11th. It was approved by the board. This will allow any budget overage to be returned to the players who participate in that event.

A motion was made by Nancy White to increase dues. The motion was seconded by Bay Ponsiego. After some discussion as to the pros and cons, the motion was not approved. Dues will remain the same for the 2009-2010 SAWGA year.

The 2009/2010 proposed budget was presented by Nancy White. Very few changes were made from the present budget. Irene White moved that we accept the proposed budget as presented with the discussed changes. Bay Ponsiego seconded the motion. The Board approved the proposed budget.

Nancy White announced that the Kick-Off Tournament for 2009/2010 will be held at Sonterra South on August 24th.

Jeanne Parsley gave a Procedural Guide to each board member. She and the board have redefined the duties of each position. She asked each board member to review the guide and make other necessary revisions. Then a final Procedural Guide will be available to begin the year in August.

The board discussed changing the starting times on play days. Gayle Fisk will check with those ladies who regularly play and also check with the golf courses to see what starting times are available. Information will be presented and a decision can be made at the July board meeting.  On each play day, the number of flights is determined by the number of players.  Gayle then forms the threesomes or foursomes according to handicaps, with a spread no wider than 8 strokes. However, if a person(s) calls and enters late, she may be playing in a group with a significant difference in handicap.

P. J. Wright showed a sample of the new SAWGA Bag Tag, made of metal and leather. Participants in the SAWGA Championship in March received one with their entry fee. At the Spring Tournament on May 11th, the entry fee will be $65. BUT if a player wants a SAWGA Bag Tag, the entry fee will be $75. This was presented as a motion by Linda Stahl and seconded by Irene White. Board approved.

There was an extended discussion about the Home Course for SAWGA for 2009/2010. Days, hours, courses and location, and fees were discussed. Based on information provided by Nancy White and Gayle Fisk, Irene White moved that we accept The Republic as our home course and use two sets of tees, based on handicap.
Bay Ponsiego seconded the motion. The board approved the motion 6-1.

Terry Lambert gave a communications report. He suggested (and showed an example) of an informational brochure, which would be excellent to give to an interested golfer. We could have these to hand out at the Kick-Off Tournament in August. It was also suggested that we have a trunk show of golf equipment and apparel at our Kick-Off Tourney. P. J. Wright will coordinate this idea with the Sonterra Pro Shop.

Terry also mentioned when we discussed the need for more visits to the website at the Christmas luncheon, there was a significant increase and we have maintained that level since then. But we need to promote the website with the general membership again at the Spring Meeting. Our goal is to have an increase each month so that at some point, we may be able to attract advertisers.

A motion was made by Gayle Fisk that we have a two-day SAWGA Championship Tournament in 2009/2010, with the tournament being played on consecutive Mondays on two different courses. The motion was seconded by Bay Ponsiego. It was approved by the board. This will depend on the availability of courses.

Gayle Fisk led a short discussion about the calendar for play days next year.

P. J. Wright motioned that the meeting be adjourned, Bay Ponsiego seconded.
